🔍 Role Overview

My Design Minds is hiring for Admin cum Accounts Executive Jobs for detail-oriented and responsible individuals who can handle day-to-day accounting work along with office administration and documentation. This role is ideal for freshers or early-career professionals who want to build a strong foundation in accounts, compliance, office operations, and modern digital tools.

This position plays a critical support role in ensuring smooth business operations. You will work closely with the founder, HR, and project teams to manage accounts entries, documentation, vendor records, employee-related paperwork, and office coordination. The role demands discipline, accuracy, confidentiality, and the ability to handle multiple small but important tasks daily.

This is not a passive desk job. The selected candidate will be expected to take ownership of records, follow processes, and proactively support the administrative and accounting needs of a growing design and engineering company.


🛠 Key Responsibilities

🔹 Accounts & Finance Support

  • Maintain daily account entries in Tally

  • Record purchase bills, sales invoices, expenses, and payments accurately

  • Support basic bank reconciliation and ledger maintenance

  • Assist in tracking vendor payments, outstanding amounts, and follow-ups

  • Maintain proper records of invoices, receipts, and vouchers

  • Support an external accountant or a CA during audits, GST filings, or compliance work


🔹 Office Administration & Coordination

  • Handle day-to-day office administration tasks

  • Maintain employee files, documents, and records (physical & digital)

  • Support HR with joining formalities, basic employee documentation, and record maintenance

  • Coordinate with vendors, service providers, and office maintenance teams

  • Manage office stationery, supplies, and basic procurement


🔹 Documentation & Record Keeping

  • Prepare and maintain documents using MS Word and Excel

  • Organise company records, agreements, invoices, and compliance documents

  • Maintain proper filing systems (soft copy and hard copy)

  • Ensure documents are updated, accessible, and well-structured

  • Support preparation of letters, formats, and internal documentation


🔹 Digital & AI Tools Support

  • Use AI tools (such as ChatGPT or similar productivity tools) for drafting emails, documentation, and summaries

  • Assist in automating repetitive documentation tasks where possible

  • Maintain digital records using Google Drive or similar platforms

  • Learn and adopt new tools for productivity and efficiency


🔹 Compliance & Process Support

  • Support basic compliance-related documentation (GST, vendor records, employee records)

  • Follow internal SOPs and help maintain operational discipline

  • Ensure confidentiality of financial and employee-related information

  • Assist management in tracking operational and administrative tasks


✅ Mandatory Skills & Requirements

  • 0–1 years of experience in accounts or administration (freshers can apply)

  • Basic working knowledge of Tally

  • Good understanding of accounts fundamentals (entries, invoices, expenses)

  • Proficiency in MS Word and basic MS Excel

  • Ability to handle documentation and record keeping

  • Comfort with using AI tools for productivity and documentation

  • Good communication skills and professional attitude

  • Willingness to learn and work in a startup/MSME environment


🎓 Preferred Candidate Profile

  • B.Com / M.Com / BBA / Diploma in Accounts or related field

  • Exposure to basic accounting or office administration work

  • Familiarity with GST concepts (basic level)

  • Experience in small companies, startups, or MSMEs


➕ Good to Have

  • Experience handling vendor coordination

  • Familiarity with Google Workspace (Docs, Sheets, Drive)

  • Basic knowledge of payroll support or attendance tracking

  • Interest in improving systems and documentation

💰 Salary & Compensation

  • ₹12,000 – ₹15,000 per month (Fixed Salary)

  • Salary based on skills, accuracy, and responsibility handling
